Appendix C — Sample defect report letter

When to use this letter?

Use this letter to report maintenance defects in writing to your landlord. A written report is important because it serves as evidence if you later need to go to the Huurcommissie (Rental Committee) or court.

Tip: always take photos with dates of the defects. Send the letter by registered mail or by email with a read receipt. Note telephone contacts with date and content.
